Host forms - forward any forms that need to be signed by UNSW to medelectives@unsw.edu.au. The forms can have different names depending on the university or clinic e.g. "Declaration by Dean of University" or "Letter of Recommendation"

 







Risks & Insurance

Proof / Evidence of Student Medical Indemnity and Personal Accident Insurance

Most universities accept the Letter of Good Standing in the initial application stage, then they’ll ask you to get some forms signed which you send to medelectives@unsw.edu.au.

The Letter of Good Standing has a paragraph stating the Indemnity terms.

If you are concerned if the host university will accept it as part of the application, please contact them directly.

Proof of Indemnity

All Year 5 students have been sent the 4 PDF documents, Certificates of Currency, as Proof / Evidence of Student Medical Indemnity and Personal Accident Insurance.

The Certificates of Currency are valid only on the following conditions:

  • Placement is part of the students’ program.
  • Placement for the student has been pre-approved by the start date of the placement.
    • Students are to register the placement on eMed for pre-approval.
    • How to register your placement on eMed: Navigate to MFAC3514 Elective Term website > Scroll down to About your placement > Click on eMed - Registering your placement

 

Exceptions: Some universities/host partners want current proof of indemnity e.g. King's College London, please use the free indemnity from MIPS https://www.mips.com.au/  or purchase your own (you will not be reimbursed by UNSW for purchased indemnity).

 

What UNSW Insurance covers:

Students engaged in the Elective are indemnified should they become legally liable for injury to any person or damage to the property of others arising from their participation in the Elective. The University has Liability in the amount of $20 Million for any one claim in the event of such an occurrence. 

UNSW also provides Personal Accident Insurance if the student is accidently injured whilst participating in any approved and recognised course related activity including clinical placements.

UNSW Insurance DOES NOT cover

  • Personal health insurance. 

Travel Insurance

Medicine students on approved international placements (i.e. WIL Central has approved the Overseas Risk Assessment), are covered under UNSW Travel Insurance.

 

 

For more info regarding Travel Insurance, please go to Insurance (sharepoint.com)  and select Travel Insurance from the menu to ensure you will be covered for all of the personal activities you may wish to do e.g. skiing, car hire, hiking, fishing, cycling, canoeing..

If you require proof of Travel Insurance (e.g. the host/partner requests it or you need it for Visa purposes):

  1. Request the Travel Insurance Certificate via the Insurance (sharepoint.com)  and select Travel Insurance from the menu > select Travel Coverage tile > Follow the directions on the page under the heading Proof of Insurance Certificates.

Students are covered for associated leisure travel for up to 50% of their travel time capped at a maximum of 4 months.

Travel insurance usually doesn't cover flights cancelled due to COVID-19 airline staffing issues, please consider purchasing flexible or fully-refundable flights. Read the fine print on your travel insurance.

The safety of UNSW students is of paramount concern to the Faculty. Therefore, the Faculty may not approve some electives.

In general, the University acts on advice issued by The Department of Foreign Affairs and Trade (DFAT). Whilst electives are organised well in advance, it is essential for students to check the DFAT website on a regular basis for travel warnings before leaving Australia. Conditions in some countries are in a volatile state and sometimes even the most serene location can become unstable in a short time. In addition to generic concerns, there are some areas where it may not be safe for women to travel alone.

The faculty will not approve electives in countries which are declared by DFAT as “Do not travel” or “Reconsider your need to travel”.

NSW Public Hospitals and ClinConnect (NSW Health Government)

Background:

  • Only for students undertaking placements in some NSW Public Hospitals (including home hospitals).
  • ClinConnect is the NSW Health system which allows the hospital to provide you with a hospital ID and access to the hospitals computer systems to see patient notes etc. Students don't have access to ClinConnect.

To Do

  • Register your placement on eMed (including home hospitals)
  • Placements are created on ClinConnect approximately 6 weeks before your placement starts using the information you entered on eMed.
  • If your start and end dates change, DO NOT register the placement again. Email medelectives@unsw.edu.au with the new dates.
  • Compliance Expiry - check your compliance expiry date is after the end date of the placement in a NSW Hospital.
  • If your supervisor or the Local Health District asks that your placement be entered on ClinConnect immediately, please email  medelectives@unsw.edu.au
  • Please note: When you start your placement in a UNSW associated hospitals and you don't have access to the eMR hospitals computer systems, please email Medicine & Health WIL Team medelectives@unsw.edu.au as your placement must be created on a NSW Health system in order to get a hospital ID and access to the hospitals computer systems. Include the following details in your email:

  • Ask to check if your placement is on ClinConnect and eMR access has been created.

Assessment

Assessment

Assessments are administrated by the Teaching Support Team - Medicine at BMed.PM@unsw.edu.au

It is the student’s responsibility to ensure that both reports are received by the end of Teaching Period 1 in Year 6 in time for consideration by the Assessment Committee.

Failure to submit the student and supervisor(s) reports will result in a fail result for the elective term and the term will have to be repeated at the end of year 6, thus delaying graduation.

You are required to pass the Elective course but it is not graded.

There are two requirements to pass the Elective course:

1. Supervisor’s Report(s) / Feedback.

Your supervisor for each placement will be expected to provide feedback on the following

  • Attendance
  • Attitude
  • General competence

A template can be found under the Assessment section, on the MFAC3514: Elective Course Guide, in the Phase 3 Moodle.

  • It can be used to give to the host as an example of the form that is required to be completed by the Supervisor/s.

As supervision arrangements can change within the pre-approved Elective facility, students will have to complete an online form to provide the Medicine Teaching support BMed.PM@unsw.edu.auwith details of their actual supervisors and their official email addresses.  Supervisors will be contacted by Medicine Teaching support to complete a feedback report for students.

Start of the placement - Supervisor’s Report

It is essential that you present the Supervisor’s Report to your supervisor(s) at the beginning of your attachment so as it is clear what is required.  You must ensure that the supervisor completes the report at the end of the attachment and you must upload it against the eMed registration for that placement.

How to Submit your Supervisor Report

Supervisors  can choose to complete either a hard-copy form OR complete the online Supervisors report.

Online Form

  • Students whose supervisors submit a report via the MS Form link will be emailed the report in early February.
  • Teaching Support will send a Moodle Announcement in December with details of an Online Supervisors Report/Electives Supervisors Feedback .
  • If you don't have access to the text box on eMed, contact Medicine Teaching support BMed.PM@unsw.edu.au
  • All questions about the assessments should be emailed to Medicine Teaching support BMed.PM@unsw.edu.au

Hard Copy

  • There will be a bulk process in mid-February to change your pre-approved Elective registration to "Approvedby Teaching support.
    • If your eMed status is not in "Approved" please contact Medicine Teaching support BMed.PM@unsw.edu.au.
  • Students whose supervisors return a completed hard-copy report should scan it and keep an electronic copy.
  • Submit it on eMed > Electives Tab 
    • If the placement eMed status is not in "Approved" please contact Medicine Teaching support BMed.PM@unsw.edu.au.
  • Students must withdraw any pre-approved registration that they did/will not attend for Elective.
    • Deadline: See Dates tab
  • Once the status of the registration has been changed to "Approved" on eMed, students can upload the electronic copies of their supervisor's report to eMed.
    • If your placement is not in "Approvedstatus, please email Medicine Teaching support BMed.PM@unsw.edu.au

Requesting a Copy of your supervisor report 

  • If you want a copy of the supervisor report submitted by your supervisor online, please email Medicine Teaching support BMed.PM@unsw.edu.au

 

2. You are required to write a report on the Elective course.

 

The one report covering all (i.e. max 2) placements. This is to be done via the eMed elective portal for one of the Finalised elective registrations. If there was more than one placement, please submit the report as one submission only. There is no Learning Plan associated with the Elective course.

The Elective report must be submitted to eMed by the end of TP1.  

    • If the placement eMed status is not in "Finalised" status,
      • Submit your Supervisor Report
      • If you have submitted Your Supervisor Report for the placements AND eMed status is not in "Finalised" status please contact Medicine Teaching support BMed.PM@unsw.edu.au.

The report should focus on how the elective has helped in your development in the graduate capabilities. You should describe what you did, how this experience has complemented your experiences at UNSW, what you learnt and how this relates to the graduate capabilities. Please note that the report is not intended to be a travelogue. 

The report will not be graded but will be reviewed by the portfolio examiners at the time of your Phase 3 Portfolio Examination and it may be addressed during your interview.  Failure to submit either the Supervisor Report(s) or your Elective Report will result in a Fail grade which would delay graduation.

Students will need to submit their reports in eMed – There is a text-box in which you can enter your report.  You are only required to submit one report for the entire elective; regardless of the number of placements.

Phase 3 Examination

During the Phase 3 Examination, students are expected to write a reflective essay where a maximum of two placements are expected.  

Please note: Students wishing to pass on practical information for the benefit of future students can provide this to MedSoc which maintains a database of possible elective sites.
